Working time records by app: hours logged, approved and ready for payroll

Employee clocking in on a phone next to the Raslak Hub home view

The Finnish Working Hours Act (872/2019) requires employers to record the hours each employee works and the compensation paid for them. The records must be shown on request to the employee, the occupational safety authority and the employee representative, and they must be kept for at least two years. Similar rules exist in most European countries.

Why paper slips and spreadsheets fall short

In a service business, hours are often collected by text message or a form at the end of the week. Hours recalled from memory get rounded, the site is forgotten, and overtime is sorted out afterwards. When the same hours are needed both for payroll and for the client's invoice, they get typed in twice.

Spreadsheets also make it hard to answer simple questions quickly. How many hours went into one client this month? Who worked overtime last week? Which hours have already been invoiced? Each answer means opening several files and hoping they are up to date.

How working time records work in Raslak Hub

The same hours are used for invoicing: the Invoice hours action in the invoicing view turns logged hours into invoice lines, so nothing is typed twice.

What changes day to day

Employees no longer have to remember the week's hours on Friday, and supervisors see hours building up during the day. When an inspector or an employee asks for the working time records, they are in one place. Hub was built inside a working service business, and you can ask the Rax assistant things like this week's hours by project.

It also changes the conversation with clients. When a client questions an invoice, you can show which hours were logged on their site, when, and who approved them. Disputes over hours become a matter of looking at the record rather than comparing recollections.

Start with next week's hours

Try Hub for 14 days without a payment card: invite your team, let them clock in for a week and see how much collecting and retyping disappears.

Your existing payroll routine can stay as it is, since hours leave Hub as a standard CSV file that most payroll tools can read.

No setup fee and no payment card. Try it on your own jobs.

Frequently asked questions

Are working time records mandatory for businesses in Finland?

The Working Hours Act generally applies to all employment relationships regardless of company size. There are exceptions to its scope, so check your situation with the occupational safety authority's guidance.

Can a forgotten clock-in be fixed?

Yes. An entry can be added or edited manually, and the supervisor approves hours before invoicing.

How do hours get to payroll?

Hours export as a CSV file, and a pay period can be assembled and locked in Hub before export.

Can employees see their own hours?

Yes. Employees can see their own week and entry history on their phone, so they do not need to ask the office.
