Installation and service businesses: service contracts, scheduled maintenance, field work

A service business's work is recurring and time-bound: scheduled maintenance, fault call-outs and installations, where every piece of equipment has its own history. Hub keeps the equipment, the site and the contract together — and turns it into an invoice.

Equipment history on the site

Every serviced item — a door, a gate, an appliance, a heat pump — is logged on the site: model, serial number, installation date, service contract. When the technician arrives, they see on their phone what has been done to the item before and which parts have gone into it. That shortens diagnosis and stops the same fault being fixed three times.

Scheduled maintenance in the calendar

The service contract sets the interval, and Hub puts the services in the calendar per site. The supervisor sees which services are due this month and assigns them to technicians. The service checklist is filled in on the phone and stays in the item's history. In the morning brief Rax tells you which contract services are overdue.

Fault call-outs and on-call

A fault report is logged as a ticket with a photo and urgency and assigned to the nearest technician. "On my way" tells the customer help is coming. On site: time clock on, photos of the fault, repair and sign-off. An on-call visit is invoiced per the contract or as an extra approved by the customer before invoicing.

Spare parts and materials on the invoice

Parts used are logged on the job as their own lines. Common materials come from Hub's price comparison across seven suppliers; specialist parts are entered manually. On the invoice labour, travel and parts are separate, and the equipment history records which part was replaced when — gold in a warranty case.

Installations from quote to invoice

A new installation is quoted in Hub with lines: equipment, installation labour, materials. The customer accepts from a link, the quote becomes a job, the installation checklist is filled in on the phone and the job becomes an invoice. At the same time the item is registered on the site for its service contract. Rax drafts the quote from photos or similar earlier jobs.

The customer's view

A property manager, facilities manager or household sees equipment, services done, open faults and invoices in the portal. For a contract customer this is a reason to renew: the service history is kept and visible, and does not have to be requested.
